Website, donation tracking, and donor management — all in one system
In short
The foundation receives donations on the website, via bank transfers, and through a dozen platforms. Before, this money lived in different places, and every reconciliation turned into detective work. Now everything syncs in one system, and fundraisers know which donors to call today.
We came in 2022 to fix glitches on the old site. Over four years, we built a new site from scratch, a blood disease portal, bank statement parsing, a revenue sources report, donor analytics, and volunteer fundraisers.
We did not start with pretty charts. We started by asking why the numbers did not match. The charts came once the data was reliable.

Queue. If Bitrix24 is down, the payment waits and goes through automatically
Who uses this
Glitches used to be silent. If the connection to Bitrix24 dropped, a payment would silently get marked “no data” and disappear from reports. Abandoned payments went unseen, and manual entries were sometimes counted twice.
Now the system tells us what happened. A connection failure repeats until the payment goes through. Re-uploading a statement does not create duplicates. Reconciliation shows which payments did not match and why.
We started supporting someone else is site. Now we own the entire digital side of the foundation.
The WordPress site was not accepting donations properly. We fixed glitches and kept it running.
A new Bitrix site missed some payments, and 50,000 transactions were slowing down the database. We handled support.

01Website
The site did not always register payments: money arrived, but showed no transaction. Payments were stored in a news table, and 50,000 records slowed the database down.
We built a site from scratch with a new design. Payments live in their own table built for hundreds of thousands of records. Each beneficiary has their own story.





Half of donors check the box and cover the fee themselves
A donor can leave a few kind words right in the donation form. We started this as an experiment — people really want to write them. After moderation, the wish appears on the beneficiary page.

02Statements
Accountants and the analyst manually parsed bank statements: who transferred, individual or company, which fundraiser. It took 2–4 days, and errors were inevitable.
An employee drags a file from banking software. The system automatically sorts payments by type. They review and click “Upload”. The analyst does analysis, not data entry.

Re-uploading is safe: payments already in the database will update; no duplicates
Parsing happens right in the browser. Donor names and addresses reach the server only when the employee clicks “Upload”. There are no ready-made services where the foundation could safely send statements like this.
It confused patronymic names — “Yuryevna” became “Yurievich” — and created duplicate donors in Bitrix24. In a statement, names are always in the right place, so a simple rule is more reliable.

03Revenue
Revenue was tracked manually in a large spreadsheet and reconciled with accounting each month. Numbers did not match; we searched for the reason by hand.
The report builds itself from statements and online payments. You see how much each partner brought and which month. Accounting variance is less than 0.1 %.

04Donors
All donors in one list. No visibility into who is major, who stopped helping, or which manager brings money.
Donors split into six groups based on when, how often, and how much they help. Each group has guidance: call personally, invite to an event, or focus elsewhere.

Before, 90 % of donations had unknown sources. Now we see where each donor came from and which campaign worked. Instead of fundraiser codes, we have beneficiary names.
Each fundraiser has a monthly target, pace, and forecast. Eight fundraisers work in the system.

05Fundraisers
People abandoned fundraisers at the text stage: they did not know what to write.
A wizard walks through steps: reason, details, story. An AI assistant suggests text. A moderator moves the fundraiser to Bitrix24 — and it publishes on the site automatically.

A volunteer holds a concert or workshop, sets entry price — and participants pay the foundation. A ticket or link arrives automatically; reminders come a day and two hours before.
06Portal
A separate foundation website with articles about diseases and treatment. Medical specialists write and verify the texts — these materials do not exist anywhere else in this form.

Statement parsing only exists inside big CRM systems. But no foundation will upload donor statements with personal data to someone else is service. So we built our own.
