Let’s talk

Services / Custom systems

Custom systems,
automation and analytics

Your system. Built around your business rules.

From owner dashboards to freight management. We consolidate data from 1C, CRM, and your website into one source of truth and automate what your team does by hand every day.

Software exists. Work still happens in spreadsheets.

Invoices wait in email, order status stalls for weeks, reports are compiled by hand. Our clients came to us with these problems — here’s what we built.

  1. Online store01

Three years tuning CRM, but still no bestseller and return reports

What we doWe build a sales dashboard: which models sell, which are bought up, and which come back. That’s what we did for Larne.

  2. Reports02

One person spends their day exporting reports from 1C into Excel

What we doWe consolidate data into one dashboard where you can drill down from the total to the product and the order.

  3. Logistics03

“Paperwork fixed, but not sent” — this field doesn’t exist in the platform and never will

What we doWe build custom freight management that we change to fit how your company works.

  4. Invoices04

Repair invoice travels through email, takes up to 5 hours to payment

What we doMechanic sends photo to bot, manager approves, accounting gets the invoice. TransLine does it in 15–30 minutes.

  5. Speed05

Monthly report in Bitrix24 calculates for 3–4 minutes

What we doWe build an app connected to Bitrix24. The foundation’s same report compiles in 2–3 seconds.

  6. Warehouse06

What fits a projector and what can replace it — they hold in their heads and Excel

What we doWe show availability, alternatives, and what can be built from parts on one screen.

1C shows one total, the website shows another, CRM shows a third

This happened at both Larne and the Foundation for Fighting Leukemia: each system counted money differently, and there was no one to reconcile the numbers. So we start by building a single source of truth. Then we automate on top of it.

1C

$56,661shipments by invoice

Website

$60,107placed orders, including cancelled

CRM

$54,811deals, some payments unlinked

Dashboard

$56,407

  • Cancelled orders12
  • Returns3
  • Payments without deal7

Numbers are illustrative.

  • LarneHoliday season orders matched to the unit: 1,959 out of 1,959
  • Foundation for Fighting LeukemiaThe director views the dashboard herself: no need to compile it, the numbers are always current

Your system should fit your business

Off-the-shelf software is like a ready-made jacket: cut for average shoulders and always pinching somewhere. You can patch it for years with workarounds. Or you can have one tailored: first we understand how your business works, then we build software that fits.

Off-the-shelf

  • You bend your process to fit the software
  • Customers, requests, and money all go through “deals”
  • Monthly report loads for minutes
  • The field you need “isn’t available”
  • Gaps get filled with Excel and Slack

Custom system

  • Software mirrors your process
  • Orders, trips, donors — under their own names
  • Report compiles in seconds
  • New field added when you need it
  • Data lives in the system, not in chats and spreadsheets

A custom system can live inside your CRM

For the Foundation for Fighting Leukemia we built an app inside their Bitrix24: bank statement parsing and donor analytics. Staff work in their familiar CRM, and our system does the math.

What changed for our clients

A carrier, online stores, and nonprofits. Each has their own process — and a system that runs it. Videos are from real screens; data is anonymized.

TransLine

Custom freight and fleet economics system. With us since 2012

Was“Fleet accountant spent almost the whole day in Excel. Repair invoices came through email.”

Built
  • We put trips, vehicle monitoring, and expenses in one system.
  • Repair invoice: mechanic sends photo to bot, AI breaks it down by line items, manager approves, accounting gets it to pay.
  • Fleet economics calculate automatically, with completeness checks: profit won’t show until fuel and wages are entered.

$850per month no longer goes to paid vehicle monitoring. About $10,000 a year.

up to 5 hours15–30 minfrom mechanic to invoice payment

What we found and what we changedWe matched GLONASS data with fuel receipts against the fuel purchase register. Two vehicles showed they were buying more fuel than went into the tank. We found the discrepancy and the driver got a warning.

Really cool result, nobody else has anything like it. We’ll refine the system and sell it to colleagues

Larne

Custom sales analytics for an online store, works alongside their old CRM

Was“Three years trying to set up CRM. Never got the reports we needed — we built them by hand from 1C into Excel.”

Built
  • We put sales from 1C, the website, and CRM into one dashboard — in about a month.
  • You can see which models sell, which get bought up and returned, which payment methods work, and where things break.
  • One click from the total and you’re at a specific product or order.

1,959 out of 1,959holiday season orders matched exactly

What we found and what we changedModels that get returned most often came out of rotation. Bestsellers that fly off the shelf go to the front of the queue.

We’re working on the next step: AI will read manager-customer conversations and show how each request was handled.

These used to be spreadsheets. Now I open the dashboard and see what’s selling and what’s being returned — and I know what to pull from stock

Foundation for Fighting Leukemia

Bank statement parsing and donor analytics — an app inside the foundation’s Bitrix24

Was“Website numbers didn’t match reports, we built tables by hand. Bank statements took 2–4 days to process.”

Built
  • Bank statement parser with 69 rules that the foundation edits themselves. We removed AI: it was mangling patronymics.
  • Dashboard for 8 fundraisers: donor segments, sources, plan vs. actual, who to call.
  • Everything runs inside Bitrix24: staff stay in their familiar CRM.

2–4 days2 minto process bank statements. Accountants and the analyst do other work

3–4 minutes2–3 secmonthly report compiles

Vlad, when I see your dashboard and read your messages, I know my letter to Santa about analytics actually got through and it’s all coming true 🫶

Original Lamps

Warehouse, pricing, and orders for a projector lamp shop in one app

Was“One lamp, dozens of part numbers. What we have and what replaces it — we kept in our heads and Excel: the warehouse system didn’t understand cross-references.”

Built
  • For each part number on one screen: quantity on hand, alternatives, and what can be built from components.
  • Stock is calculated from lamp, body, and module: one product won’t be sold twice.
  • Prices track the Central Bank rate every hour; the system blocks changes over 15%.

15–60 minutes1 screento find a replacement lamp. There just isn’t good off-the-shelf software for this type of product

This is killer, bringing MoySklad and cross-reference data together in one place — that’s talent. The sales guy is crying happy tears

Project website

Nika Foundation

Foundation website linked to Bitrix24, and the Opeka regular-giving service. With us since 2020

Was“We moved beneficiaries and fundraisers from CRM to the website by hand, and entered donations into CRM.”

Built
  • Beneficiaries and fundraisers publish to the website straight from Bitrix24, donations auto-appear in CRM as deals.
  • If CRM goes down, the payment isn’t lost: the sync retries up to 30 times and doesn’t create duplicates.
  • Opeka — regular support for a specific animal: cancellations, failed charges, open slots.

Thank you so much, routine work dropped by half. Fundraisers used to copy and paste — now they do really important things

Yes, custom systems cost more than a subscription

A subscription is access to ready-made software. A custom system is development for your workflow, and costs more. It pays off through employee time on salary, money arriving faster, and insights you can finally see in the data.

  • TransLine · repair invoices

    up to 5 hours15–30 min

from mechanic invoice to payment. Used to go through email.

  • Foundation · bank statements

    2–4 days2 min

to process statements. Accountants and analyst do other work.

  • Original Lamps · find a replacement

    15–60 minutes1 screen

lamp number, stock, alternatives, and buildable combos.

  • TransLine · bonus

    $850 a month

no longer spent on paid monitoring. Nice bonus, but not the point: the accountant got free from spreadsheets and now improves the system.

We start with how you work

A good system comes at the intersection of two expertise: ours in technology and money, and yours in your industry.

  1. 1free

    Call

We call via Zoom or your preferred method. Vladislav asks what isn’t working and what ideas you have. No ready brief — we look at what you use.

  2. 2

    Roadmap

We come with a plan and a quote: what we do first, the cost, and the timeline.

  3. 3

    Build together

For a dashboard you barely need your time: we check in and deliver finished. For a big system we need your expert — a logistics manager, director — and their hours.

  4. 4

    Launch alongside

The new system can run alongside the old one. We turn off the old when the new one proves itself. We arrange the cutover for your project.

  5. 5

    Support

Hourly or in a package. We often respond to critical issues in 15 minutes and handle serious outages even on weekends.

AI helps. Code counts the numbers.

So a custom system today doesn’t cost everything and doesn’t get money wrong.

How AI speeds things up

AI writes standard code: most of the interface and prototypes. This used to take forever.

Architects, developers, and reviewers are human. We decide how the system should work and own what it becomes.

Where AI works in the product

Where speed matters more than precision to the cent: read a scanned invoice and break it into line items. Code checks the sum and totals, a human approves.

In the foundation’s statement parser AI was mangling patronymics — we removed it and kept the rules.

FAQ

What happens if you disappear?

Nothing vanishes. The repository with code and the server are yours from day one, documentation lives on that server too. The system is built in popular Next.js — any strong team can pick it up. And we have a network of trusted developers to step in.

Do we have to abandon our CRM or 1C?

Not necessarily. Larne’s analytics works alongside their old CRM, the Foundation’s system is an app inside their Bitrix24. We decide together what to keep, what to expand, and what to replace.

How much does this cost?

Owner dashboard from $1,200, warehouse tracking from $3,500, custom CRM from $5,900. A system the scale of TransLine we calculate separately. Exact price comes in the quote after a call.

How long until launch?

We built Larne’s dashboard in about a month, launched Opeka for Nika Foundation in 13 days. We’ll name your timeline in the roadmap: a dashboard and a company-wide system are different scope.

How much of your time do we need?

For a dashboard — very little: we check in and bring finished work. For a large system you need your expert and their time: we can’t build good software without knowing how you work.

Where will our data be?

On your server. Backups go to cloud storage. If a task needs AI, data goes to it anonymized.

Can we trust AI with our money?

Money and math use regular code. AI handles speed cases: read a scan, parse into line items. A person still makes the call.

What if something breaks after launch?

We support hourly from $30/h or a monthly package with discount. With a package, a critical issue often goes from report to fix in under 15 minutes. That’s business hours — serious outages we handle on weekends too.
